Workflow automation is the use of software to run a sequence of business steps automatically when a trigger occurs, such as a new form submission or email.

A workflow has a trigger, a series of steps and an outcome. Classic workflow automation moves data between systems by rules: when a lead fills a form, create a CRM contact and send a welcome email. Adding AI lets workflows handle unstructured steps, such as reading an email to understand intent or extracting fields from a PDF. Tools like n8n, Make and Zapier let non-developers build workflows by connecting apps visually.
Example
When a supplier invoice arrives by email, a workflow extracts the details, creates a draft bill in the accounting system and asks the finance manager to approve it.
